Custom Lockbox File Import

Aeros ERP has functionality to process Lockbox-type data for bulk payment application against a Customer's invoices. The Custom Lockbox Import utility has been developed to read the Excel file and to place it into the standard Aeros ERP Lockbox DepositImport tables.

Pre-Requisites

Step-by-Step Guide

  1. Access the Receivables module.
     

  2. Click on Custom.


  3. Click on Lockbox Import.


  4. If using the Loblaws file format (LoblawLockboxSample.xlsx), click on the Load Loblaws File button.


    1. Locate the file on your local machine, and click Open.




    2.  If the file reads correctly, the screen should appear as:

       


    3. The Detail Amount text should appear in green.
      This means that the first row in the Lobloaws file (the Check # and Check $ Amount) match the details provided.
      If the Detail Amount is red, then there is an issue with the details not matching the first row in the file.


    4. Specify a valid Reference Field option.
      The Reference Field tells the system what field within ERP was provided by the client. Is the Reference # on the lines the ERP Invoice #, the ERP Order #, or the ERP PO #?
      During initial implementation / migration, this will most likely be the ERP Invoice #; once but may become the ERP PO # or Order # over time. 


    5. Click the Create Lockbox Records button. A confirmation dialog should appear.




    6.  You can now close the Lockbox File Import screen and access the standard ERP Lockbox Processing screen to apply the payments.


  5.  If using the generic file format (LockboxGeneric.xlsx) click on the Load Loblaws File button.


    1. Locate the file on your local machine, and click Open.


       

    2. If the file reads correct, the screen should appear as:

       


    3. Using the field on the left, specify a Division, Customer, Bank, Deposit Type, Payment Type, Check #, Check Date, and Check Amount.


    4. Click on the Validate button.
      This process balances the Check Amount against the details provided in the file.
      If the Check Amount matches the details provided, the Detail Amount text will change green, and the Create Lockbox Records button will be enabled.





    5. Click the Create Lockbox Records button. A confirmation dialog should appear.




    6.  You can now close the Lockbox File Import screen and access the standard ERP Lockbox Processing screen to apply the payments.
