Insert Orders from Access DB to ERP EDI

This article documents the processes to import the Invoices from an Access database into the Aeros ERP EDI routines for further processing.

Pre-Requisites

  1. Copying of the latest Access DB into the Network Share

Step-by-Step Guide

  1. Access the Master module.
     

  2. Click on Custom.


  3. Click on Import/Export Job Queue. The following screen will appear:




  4. Click the Queue button next to the "Extract Data from Access DB" line. The Queue button will then disappear.

     


  5. Within the next several minutes, the system will read the Access database and populate the Aeros ERP EDI staging tables with the data. Click the Refresh button to see when the process has completed. When it has been completed, the Queue button will reappear.


  6. Now, let's access the EDI screens for further processing. 


  7. Access the Orders module.
     

  8. Click on EDI Processing.


  9. Click the Retrieve button. The system will display all Invoices from the Access database that are ready to be imported into ERP's Customer Order process.




  10. Only lines that have the status of "Ready" will be imported. Any lines that have the status of "Error" need to be researched and resolved.


  11. For lines with the "Error" status, click on the PO # column to display additional information about that line.

     
    In this situation, the system did not have a Customer #, so it is failing trying to map a blank Customer # to an Aeros ERP Customer #.
    It is also having issues with Item #19 that was provided. The system is failing trying to map Item #19 to an Aeros ERP Item #.


  12. Once the errors have been resolved, re-running step #7 to #9 will reprocess the records and attempt to re-validate the data.
    For example, if Item #19 is created in Aeros ERP, then it will not longer return the errors on those lines.


  13. Once you are ready to process the "Ready" records, process the Process button.
    Note: For testing purposes, I only checked 3 of the lines before clicking Process.




  14.  After the system completed processing, the screen refreshed and Order #'s were provided.

     


  15. Click the Close button to exit the EDI Processing screen.


  16. To review, I access the Customer Order screen and reviewed Order #12:




  17. The process has now been completed.
    You can now complete the Invoicing process to convert the Customer Order into an Invoice.
