Work Order to ERP Inventory Usage

This document outlines the steps necessary to turn manager plus work orders into ERP Inventory Usage



Prerequisites

To perform these steps we will require:

  • Security access to Manager Plus Work order

  • Security access to ERP Inventory Control System 

Configuration and Security



Power User → Config Feature

A user with admin rights / Power User rights will need to enable the feature, It will be under the "Inventory: Inventory Usage" node in the tree.

Settings → User Profiles

For each user that can review these batches, we'll need to grant them security access.

Mapping Inventory Locations

Power User → Manager Plus Warehouse Map

Manager Plus Inventory Locations may not match ERP locations. to resolve this, there is a mapping screen. Enter the Manager Plus value on the left, and the ERP value on the right, and these will be resolved in the commit. 

Creating Work Orders in Manager Plus

We'll log into Manager Plus. There is a Work Order menu option n the main user interface, but it does not work. Instead, we'll click to load the Manager Plus 2.0 UI.



Manager Plus → Work Order → New Work Order

From here, we'll select the Work Order feature and we will select "New Work Order". 







We will enter the information about the work order header on the pop-up window, paying close attention to the entity, delivery date, and budget. These are all required to commit to ERP.

When we have entered the values we want for our header, we'll click "Create and Open".

If we click create, this will return us to the work order lookup. We'll have to search for our work order and double-click it to open it.



Our inventory Usages will be created for all of the parts added to the work order. Click the "parts" tab, and enter a line for each part of the work order.

The item code lookup can be quite slow, so know what item(s) you may want to create lines for, type them into notepad, and copy them into this screen's "Part" field.

Once you are done, click "Save".

Now, we'll import these orders into Connect.



Importing Work Orders Into Connect

Inventory → Inv. Usage → New Batch

When we want to import records from Manager Plus, we'll create a new batch. When we do, we'll see some stats about the last batch we created. By default, the date of that last batch will be the start date to look for records for this batch. It can be overridden if we suspect there are some records that may have not made it into an earlier batch, that we want to try to include.

When we are ready to proceed, we'll click "Import / Create batch".

Any work orders that we have created since the last import date will be included in the batch. Orders already imported into a previous batch will not be staged again.

All rows on the grid are read-only, except for "Include in Batch" should we only want to send over a select group of records, we can uncheck the ones that we don't.

  • Save: Saves any changes made to the batch. Users can update the batch code and include in batch fields.

  • Close

  • Delete Batch: Deletes an uncommitted batch.

  • Reload Batch: Reloads the batch from its last saved state. Any changes made since then are undone.

  • Commit Batch: Commits the batch to Manager Plus.

  • Test Commit: Runs the commit validation without performing the commit.

Committing Work Order Batches

When we commit, the records will be passed to Manager Plus and marked and time stamped as sent. When this happens, all valid rows will be grayed out in the view.

if a row fails to send, we can see any error messages in the "Commit Results" tab.

We may get errors that we do not have enough inventory to perform the usage- If this is the case we will need to perform a direct receipt of inventory for this division/location/item code in ERP.



Proofing the Results

Run the "Inventory Balance Transaction Register" to show inventories were relieved.



Scheduling Batches

Settings → Other → Scheduled Tasks

We'll add records to the schedule list if we want to schedule these batches

  • InventoryUsagePull: Create a schedule item of this type to automatically create batches of work order requests that have been created since the last batch was run.

  • InventoryUsagePush: Create a schedule item of this type to automatically commit records for each batch that has uncommitted records.
