BULK INVENTORY USAGE

Introduction

This feature will allow users to import inventory usage transactions in bulk from an file.

Navigate to Master → Security → User Profile → Module Permissions → Inventory → Tools → Utilities → Inventory Usage Import to set the user permissions:

Importing a File

The import accepts an Excel (.xlsx) file like the one below:

Headers are not necessary in the file, but the values we wish to import must be in a specific order, the values accepted by the import are:

Division

A valid division code

Location

A valid location code

Lot

A valid inventory lot with inventory balance to use

Item Code

A valid item code

Adjustment Code

A valid adjustment code

Usage Quantity

the amount of inventory to be used

Usage Pack

the weight of the amount to use

Comment

An optional comment string stored in the resulting inventory record

On opening the usage import, the user is first prompted to enter an Adjustment Date, Default Adjustment Code, Default Location Code, and File Name.  The Adjustment Date and File Name must be filled out by the user.  The Default Adjustment Code and Default Location Code are optional because they can be set in the import file.  If the Adjustment and Location codes are set in the file, the file will take precedence.  Any Adjustment or Location codes that are blank in the import file can be set by using the drop downs below. 

*NOTE - The Default Location Code option is only available in ERP 3.12.38+

 

After selecting a valid file and a date, the user presses OK to load the file and open the usage import form.

 

If the file loads successfully, the usage import form will display its contents.  If there are any issues with loading field values, the form will display the errors on the specific fields. (those fields will need to be corrected before the file can be committed):

 

The adjustment date is always set to the date specified in the prompt.  The file itself does not have a date field. All fields on the above screen are not editable.

*Note -  Multiple Inventory Usages can be imported from the same file.

 

Committing the Import

Once the file has imported with no errors,  the user can click the "Save" button to create the usage records:

 

Verification and Posting

Once the commit process has completed, the usage records will be created in ERP.  Users can run inventory reports such as Inventory → Report Wizard → Inventory Balance Transaction Register to see the usages in the system.  The usage records will also be available to post in Inventory → Utilities → Post to G/L:
